PollHall

Privacy notice

Last updated: 6 November 2026

This notice explains what personal data PollHall collects, why, and what your rights are. It follows the Digital Personal Data Protection Act, 2023 and the Rules under it, and the Information Technology Act, 2000. The data fiduciary (the company responsible for your data) is Cano Solutions Private Limited, CIN U72900MH2022PTC376800, Plot No. 166/7, Gat No. 524/1/157/6, Sharayu Park, Adgaon, Nashik, Maharashtra 422001, India.

1. What we collect

  • Your email address, to log you in and send sign-in links. If you choose a password, we keep only a scrambled form of it (a scrypt hash), never the password itself. If you use Google sign-in, Google gives us only your email address and a Google account ID, never your Google password.
  • If you log in with a phone number: your mobile number, to send your sign-in code. We store it only in a scrambled form (a keyed hash) plus its last 3 digits, so you can recognise your account. We never keep the full number in readable form.
  • Your votes and vote changes, comments, likes, reports, followed topics and suggested questions.
  • If you add them: display name, city and state. Your language choice.
  • Technical data: IP address, browser type and time of each request, kept in security logs. The bot check (Cloudflare Turnstile) looks at basic device signals to tell people from bots.

2. Why we use it

  • To count one vote per person and show results.
  • To let you comment, reply, follow topics and get alerts on PollHall.
  • To stop fake accounts, spam, fraud and attacks.
  • To answer complaints and lawful orders, and to meet our legal duties.
  • To improve PollHall, using totals only.

3. Your consent

  • When you tick the box and create your account (with email, Google or a phone number), you agree to the uses above.
  • You can withdraw consent at any time by deleting your account (Profile → Delete account). It is as easy as signing up. Withdrawal does not affect what was done before it.

4. What others can see

  • Public: your comments, your display name (and city, if you add it), and your side on a comment only if you choose to show it.
  • Your level, points and badges are shown on your public profile. Your name appears on leaderboards only if you turn it on.
  • Private: your number, how you voted, and your account details. We never show how a named person voted.
  • Results by state are shown only for groups of 50 or more votes.
  • Votes on public issues can reveal opinions, so we treat them with extra care: never sold, never shared for advertising, never used to build profiles of people.

5. Who we share it with

  • Service providers who help run PollHall, under contract and only for that purpose: the SMS provider (your number, to deliver the code), our hosting provider (servers in India), and Cloudflare (security, bot checks and page delivery; it may process IP addresses outside India).
  • Our email provider (Hostinger), to send sign-in links. Google, only if you choose Google sign-in.
  • Courts and government agencies, only when the law requires it and on a lawful order.
  • We do not sell or rent personal data. We have no advertisers and no data brokers.

6. Cookies

  • We use one cookie to keep you signed in and one to remember your language. We use no advertising or tracking cookies and no third-party analytics.

7. How long we keep it

  • Account data: while your account is open.
  • When you delete your account: your votes leave all results at once, and your comments stay but without your name. The registration record (scrambled number, name and the list of your comments) is kept for 180 days, as the Information Technology Rules require, and then erased.
  • Security logs: at least 180 days, as Indian law requires, and no longer than one year.
  • Records of removed content: 180 days, or longer if a court or authority asks.
  • Sign-in codes and links: deleted within a day; links work for 1 hour and only once.

8. Security

  • Scrambled phone numbers, encrypted connections (HTTPS), signed sessions, limits on repeated attempts, and access only for staff who need it.
  • If a personal data breach happens, we will inform affected users, the Data Protection Board of India and CERT-In as the law requires.

9. Your rights

  • Get a summary of your personal data and how it is used.
  • Correct or update your data (most of it from your profile).
  • Erase your data by deleting your account.
  • Withdraw consent at any time.
  • Nominate a person to use these rights for you in case of death or incapacity.
  • Raise a grievance with us, and then, if you are not satisfied, with the Data Protection Board of India.
  • To use a right, write to privacy@pollhall.com with the last 3 digits of your number. We will confirm it is you with a code sent to that number, and reply within 30 days.

10. Children

  • PollHall accounts are only for people aged 18 or over. If we learn that a child has an account, we delete it. Parents can write to privacy@pollhall.com.

11. Changes to this notice

  • The date at the top shows the latest version. Signed-in users are told about important changes.
